When Synergy member R.W. LaPine reached out wanting to dig deeper into Synergy’s recent white paper on software trends, we brought together more than 20 members to share what’s working, what’s not, and what to watch out for.

Here’s what came out of the conversation.

1. Don’t Rush the Decision – Even if the Vendor Pushes

Several members emphasized the importance of not rushing into a software decision. Even if you’re dissatisfied with your current solution, it’s critical to avoid being pressured by aggressive sales tactics from vendors pushing quick signings. A member shared, “Unless you absolutely hate your software or it’s being discontinued, don’t make a fast decision.” Software companies are trained to push urgency, but that doesn’t mean it’s the right move for your business.

2. Start with Process Mapping, Not the Software Demo

Before you start comparing vendors or chasing shiny demos, several members recommended fully documenting your current processes. This helps guide vendor conversations and reveals what your organization truly needs.

3. Integration and Implementation Require Cross-Department Buy-In

Implementing new software successfully requires input from every affected department, not just IT. Integration challenges are real, and success depends on cultural alignment and user adoption across the organization.

4. Cost Doesn’t Stop at the Purchase Price

Ongoing costs can be significant. Members stressed the importance of ongoing budget forecasting, including the potential hidden costs of upgrades, licensing, and integrations.

5. You Might Not Need New Software – Just Better Add-ons

For some, switching software entirely wasn’t worth the disruption. Instead, members shared how they extended the life and value of their current systems by layering on add-ons or building internal tools to fill gaps.

6. Start Talking Sooner

Whether you’re evaluating software now or thinking about it in the future, one of the biggest takeaways was the power of peer conversations. Many shared lessons learned, like waiting before jumping to a new ERP, asking better questions up front, and learning from failed implementations.

  • Take your time. Don’t fall for high-pressure sales cycles.
  • Get clarity around scope and what’s truly included.
  • Ask for referrals from similar-size companies in your vertical.
  • Build an internal team that includes voices from both the field and office.
  • Pilot with a small group before you commit to a full rollout.
